Executive Committee Positions

Jets are looking for two new people to join the committee - one co-opted member and Treasurer:

 

Treasurer:

The treasurer is ultimately responsible for insuring that the finances of the club are organised and managed effectively through a specific and separate club bank account.

The treasurer is responsible for the following

On weekly basis:

  • Ensuring that all cash and cheques are deposited promptly in the bank or building society
  • Issuing receipts for all money received and recording this information

On a monthly basis:

  • Collecting statements from the bank and checking money balance through online accounting system
  • Paying the bills and recording the information for hall lets, SVA & Sports equipment
  • Export monthly account from online accounting system
  • Player's account automatically sent - chasing up with team Secretaries those in the red
  • Collaborating with Club administrator to confirm hall lets and insuring the club is maximizing hall times

Seasonally/Yearly:

  • In the initial few weeks, attending different teams sessions 1-2 times per month to discuss fees with players. Thereafter, with team secretaries help, once per month if required will suffice
  • Discuss with secretaries before season begins about process of registration and the expectations of them
  • helping to prepare and submit any statutory documents that are required by law
  • Do up accounts and report to the executive committee. Actual position and forecast for the year (this will help determine if cuts need to be made or if the club can support National team players etc.)
  • Year-end AGM accounts and financial report Jets volleyball accounts should be done from start August to end July (in accordance with the season) through online accounting software
  • Reporting regularly to the committee on the club’s financial status
  • Responsible for financial planning, including producing an annual budget and monitoring it throughout the year

Additionally, the treasurer should be available to help with:

  • Giving financial information to the grants officer so he/her can apply for grants with the correct paperwork (basically sending accounts and bank statements- sometimes invoices)
  • Answering questions to team secretaries
  • Financial issues with social events in tandem with Social convenor

 

 

Co-Opted Member:

The co-opted members are responsible for the following

Seasonally/Yearly:

  • Helping with committee meetings, support in dealing with issues and making decisions
  • Volunteering to sit on focus groups to deal with individual areas not supported by a particular committee member (i.e. website development, visual promotion, team kit, social events etc.)

Additionally, co-opted members should be available to help with:

  • Supporting committee in terms of illness, or over capacity
  • Helping team secretaries if required
